Planning reliability in IT procurement

Replacing IT clients but tying up as little capital as possible? Using an example, we show below that a hardware refresh does not have to be expensive.

There is no such thing as a one-size-fits-all IT workstation that will last forever. The requirements for work equipment in the office and the mobile workplace are constantly changing. Where yesterday there was a desktop computer, today there is a notebook and docking station. Instead of one, there are two monitors on the desk.

In order to meet changing needs, new, flexible procurement models are required that enable the replacement of old with new without major investment. The following example illustrates how expenditure can be reduced to a necessary minimum without having to compromise on performance.

Buzzword AG example

In our fictitious marketing web social media agency, a classic small company with 10 employees, various notebooks are in use. Although the devices are actually still working perfectly, the computing power only just fulfils the requirements of the software that the company wants to work with.

For this reason, the company owner, let's call him Ronny, wants to replace the devices with the latest generation of MacBooks (2018 model). He has opted for the for 3,298.

Use instead of buy

If Ronny were to replace all the devices in one go, he would have to spend around 33,000. An investment that would hurt the small business. Therefore, after receiving advice from the B2B team at Digitec Galaxus AG, Ronny decided to purchase the devices in a usage model instead. In other words, to pay for their use without having to own the devices.

The special feature of the usage concept is quickly explained. Ronny plans to replace his devices every three years. He therefore concludes a contract for 36 months. The expected residual value after the contract period is deducted from the original purchase price of the devices. Experience shows that this is just under 21% for the selected MacBook Pro. The loss in value, or the monthly usage fee for the MacBook over the contract period of 36 months, is therefore €73. At the end of the contract, the devices are collected from Ronny's office and he can re-evaluate which devices meet any new requirements. The data on the devices is deleted professionally and with a certificate.

What are the advantages of the utilisation model?

There are several aspects that speak in favour of a usage model and make it interesting for companies of different sizes and challenges.

  • Planning security thanks to fixed monthly costs
  • Scalability with increasing number of employees
  • No residual value risk
  • Cost savings of up to 30% compared to purchase
  • Secure, certified data erasure
  • Asset Management Tool - see how many and which devices are in use at any time
  • In addition to the IT clients, peripheral devices and software can also be used in the same way

The usage model can be combined with all campaigns and promotions, the decisive factor for the calculation is the price we offer .

Applying the above example from Buzzword AG, Ronny would receive up to €2,000 per device as a trade-in premium for the 10 devices currently in use, depending on the model and condition. If the trade-in premium were to be taken into account in the amount to be amortised from the usage concept, the monthly instalment per workstation and employee would be significantly lower than the calculated €73.

What does your current IT landscape look like? Does it still meet your requirements, or is it time to think about new devices? Let us know your needs and let's find a solution to your challenges together!

As Head of B2B, I'm keen to learn all about the purchasing processes our business customers apply. My mind buzzes when it comes to the automisation of daily orders, services designed for projects and flexible financing models for A–Z workplace solutions. Bright ideas generally come to me over an espresso in our company's very own café «Pause».
